Fourth meeting for the project:

Analysis of involvement into the mobility projects in organizations size types S1 and S2

.

Place: Rimini, Italy

The fourth meeting of LdV partnership project:»Analysis of involvement into the mobility projects in organizations size types S1 and S2« took place in Rimini/Italy from the 1st of till the 4th October 2009. All 6 partners of the project (Italy, Sweden, Germany, Austria (2), Poland, Slovenia) attended the meeting. This time we were hosted by SISTEMA TURISMO which is an company that promotes, organizes and manages work experiences for individuals and organizations. It work both in Italy and abroad.

The conference was organised in Hotel Continental in Rimini.  At the meeting each partner presented the results of the questionnaires that were supposed to be completed by 20  S1  (>20 employees) and S2 (>50 employees)companies. The next step was agreeing on the content of the final report of which draft had been prepared by Profuturs. Each partner was assigned to contribute to the development of the final report. AVIVA is responsible for filling in the parts concerning the reports of the project meetings. After that the partners were reflecting upon the possibility of future projects. The discussion was supported by special presentation entitled “Transnational cooperation – possibilities for future projects”  made by Jelena Krivograd, Proturus employee. The presentation was especially devoted to the topic of social cohesion in Slovenia as well as  European programmes that support it.

In the last part of the meeting, the participants agreed on the dates of next project meetings which will take place from the 14th till 17th of January 2010 in Wrocław/Poland and from the 15th till 17th of April 2010 in Austria.

As a part of the conference, the partners had a chance to visit a host enterprise in Rimini. It was a chance to enquire about organizations size types S1 and S2 and Mobility project in Italy. As for the recreational part, Sistema Turismo organised also a cultural visit to the oldest Republic of Europe – San Marino.

AVIVA is looking forward to hosting the project partners for the next meeting in Poland.

Third meeting for the project:

Place: Berlin, Germany

Date: 14-17.05.2009

Using German no-speed limit highways it took us considerably less time to get to Berlin than to any other project location so far. Third meeting took place in Hotel in the center of German capital city – enormous and monumental Berlin. Not like Klagenfurt or Maribor, it is no cozy and calm city. On the contrary, both days and nights it is full of motion and people that rush to their jobs or clubs, where parties last all night long. Luckily for all the partners and us, our hotel was situated near the metro station, so we had perfect starting point to venture into the city when we were finished with project responsibilities.

This meeting was organized by Ile institute, and our host Michael Goetz had his hands full all the time as this time over twenty people came to the meeting.

Third meeting was somewhat more relaxed than the previous ones. Every partner was supposed to make some interviews, to collect few questionnaires from S1 or S2 companies.  We were planning to improve and correct the questionnaire forged before, basing on the experiences made in this process. But amazingly only after several minutes after the official part of the meeting had begun, it became clear that all the partners are 100% happy and entirely agree that the form we made is not only recognized as being professionally made, but also easy to understand and to fill in!
Of course there already had been some cases of some company representative wrongly filling some of the parts of the questionnaire, but it was plainly because of this persons lack of knowledge in the field of mobility –and after all it is what we are aiming to improve.

This small sample that was gathered so far, already shows how many problems there are for the S1 and S2 sized companies to start using mobility project to improve their work. As we could foresee the company owners are quick to say that they are too small to even thing about writing or participating in mobility project. They most likely name more obstacles than chances to do that. It is o course too soon to state some definite results, but if everything goes in this direction, we may be facing analysis that confirms our worst case scenarios – that is, smallest companies need a lot of versatile help – starting from information and ending with financial – to even think of getting involved in mobility.
Will this all be confirmed, we all agreed that using our knowledge and know-how we will try to write and start a new project that would let S1 and S2 companies use as what EU offers much as possible.

This meeting proved also another thing, that no matter what the actual results of this particular project will be, already there has been formed a precious network of international trustworthy EU partners that can and will think of how to write and make another projects together. That network is something that could have been achieved by solely meeting and working together.

 


Second meeting for the project:

Place: Klagenfurt, Austria

Date: 22 - 24. 1. 2009

Second meeting took place in Hotel in the center of beautiful city of Klagenfurt. It is quite close to he Slovenian border and Maribor itself (where the first meeting took place).
Those localizations were very convenient for most members of our project team as the Austrian and Slovenian organizations came again with most of people.

This meeting was organized by Mr Picej (from hotel Obirblick) and it has to be said that he had very hard task to live up to the standards that were set very high by the organizers of first meeting in Maribor. Profuturus represented by Mr Pozarnik made a very good and professional job while hosting the meeting.

Profuturus showed how the things should be done, and Obirblick proved that good examples will be maintained during our meetings. I have no doubt that next meeting set to take place in Berlin on 14 of May will also follow this pattern.

Second meeting was also a chance to think over and appreciate how important it is to have trustworthy and solid partners in the projects. We all function as a piece of a bigger picture, every partner has a “mission” to fulfill. If one of the pieces would constantly fail, the project would be endangered or even couldn’t be finished! So we all rely on each other and we have to show a lot of good will and prove that we care.
Organizing a proper meeting (each of the partners will have to host at least one) , making the part of your job, and maybe the most important – attending the meetings are the most important tasks that guarantee that the project will be a success.

I will remind you what is the aim of our project- we want to check if the companies that employ less than 20 people – so companies types S1 and S2- are interested in using funds and opportunities from European mobility projects, and if yes what are the obstacles that prevent this from happening and what could be done, what kind of support they would expect to start improving their mobility.
We now have a standardized form, that we designed on the fist meeting.
The partners already agreed on what questions will the questionnaire contain, but now we had to discuss them again and double check that everything is clear not only for us but also for the companies that will have to fill the form– nobody will be willing to fill out questionnaire which has multiple detailed and complicated questions.

On behalf of Aviva I introduced and presented a simple but efficient system that if implemented by every partner of the project will enable us to easily analyze all the data from all the questionnaires we collect.
We agreed that every partner will translate the English version of questionnaire in their mother tongue –so that there is no language barrier for companies.
This however brings a new challenge as the common and leading language of the project is English. So how to make the results in a way that they will be understandable for every partner?
I figured that some modern but simple IT solution is proper to be used here. I transferred our questionnaire to excel where you can easily place both column in English and translated questions and what is more – you can simply copy collected data, and paste it one by one, so that analyzing that we have to make later will not be complicated.


First meeting for the project:

Analysis of involvement into the mobility projects in organizations size types S1 and S2

Place: Maribor, Slovenia

Date: 20 - 23. 11. 2008

First meeting, first challenge – meeting our partners. First thing in all EU projects is to keep it international. This one is no different as our project gathered people all over the united Europe: Germany, Italy, Poland, Slovenia, Sweden and Austria. All partners had at least one person to attend the meeting, but all together we began our consultations with as much as twenty people! A lot of ideas was swarming around in the conference room as we started to warm up.

But first everyone had to introduce themselves and the organization they represent. Today we have met for the first time, before it was only email of phone that kept us in touch. We will cooperate for the next two years and meet at least eight time during this period, so it is better to get to know each other.

After short coffee break we started to talk over the aims and milestones of the project, we need to know how to divide work and schedule time so that we are sure for 100% that after the last meeting in 2010 we have everything ready. We also decided that next meeting will take place in Klagenfurt Austria in the middle of January. It will be organized by Mr Picej from The Hotel….

What is the aim of our project? To keep it short we want to check if the companies that employ less than 20 people – so companies types S1 and S2- are interested in using funds and opportunities from European mobility projects, and if yes what are the obstacles that prevent this from happening and what could be done, what kind of support they would expect to start improving their mobility. We see that small companies have less resources and less know how than the big ones, but there are funds that can help to overcome some of the issues they would have to deal with – we just don’t know what are main problems. If there is no diagnose there cannot be a proper cure. Our project will provide the recipe for cure - the analysis on over 200 small companies from all of the countries involved in the project.

On the first meeting we had to design a proper tool to collect data and information, we decided that forming some kind of questionnaire will be the best solution. We will have a standardized form, that we will design so that it asks about every aspect we are interested in.
What will the questionnaire contain? It was the issue for us to deal during the second day of the meeting. Everyone had some ideas, wanted to add something but we wanted to keep it simple – nobody will be interested in filling out form which has multiple detailed and complicated questions.

First meeting ended, and we managed to do what was planned – apart from getting to know our partners, we worked out advanced draft of the questionnaire which will be finished on the second meeting in Austria.
